Who’s on a Preconstruction Team? Roles, Responsibilities and When to Hire Each

HireArchitects Hiring Guides · October 25, 2026

Who's on a preconstruction team: roles and responsibilities – HireArchitects hiring guide

Preconstruction is where projects are won or lost. Accurate budgets, realistic schedules and coordinated drawings before ground breaks mean fewer change orders, tighter margins and more credibility with owners. But “preconstruction team” means different things at different firms. Here is a plain-English breakdown of the core roles, what each one owns and the order most growing contractors hire them in.

Construction estimator

The estimator turns drawings and specifications into a number you can bid. They price materials, labour and equipment, solicit and level subcontractor quotes, flag scope gaps and assemble the bid package. On awarded work they price change orders and hand a clean estimate to the project team.

Hire when: you are declining bid invitations because nobody has time to price them. For most firms this is the first preconstruction hire. See how to hire construction estimators.

Quantity takeoff specialist

A takeoff specialist measures quantities from PDF and CAD sets in tools like Bluebeam Revu, PlanSwift or STACK and documents the assumptions behind each number. They do not own the final price; they feed it.

Hire when: your senior estimator spends most of the day measuring instead of pricing and reviewing scope. Adding a takeoff specialist is often the cheapest way to double estimating output. See quantity takeoff specialists.

Preconstruction coordinator

The coordinator keeps the bid machine running: tracking invitations and due dates, distributing drawings to subs, chasing RFIs and quotes, managing bid-day logistics and maintaining the subcontractor database. On awarded work they help with submittals and handover.

Hire when: deadlines slip because estimators are buried in admin, or when you bid enough work that tracking it all becomes a job in itself. See preconstruction coordinators.

Construction scheduler

The scheduler builds the baseline schedule in Primavera P6 or Microsoft Project, sequences activities and resources, and later tracks progress, look-aheads and delays. Owners increasingly expect a credible schedule as part of the proposal, not after award.

Hire when: you are pursuing larger or owner-driven work that requires a resource-loaded schedule, or your PMs are building schedules at night. See construction schedulers.

BIM coordinator

The BIM coordinator federates architectural, structural and MEP models, runs clash detection in Navisworks or similar tools, leads coordination meetings and maintains model standards. Catching clashes in the model is far cheaper than catching them in the field.

Hire when: your projects require BIM deliverables, or field conflicts between trades are driving rework. For modelling capacity rather than coordination, a BIM modeler or Revit technician may be the better first step. See BIM coordinators.

Supporting roles

  • Draftspersons and CAD drafters produce shop drawings, as-builts and permit sets.
  • MEP designers lay out mechanical, electrical, plumbing and fire protection systems for design-build work.
  • Project managers take the estimate and schedule through to delivery, so involving them early improves handover.

A typical hiring order

  • Stage 1: one estimator who owns the number.
  • Stage 2: a takeoff specialist to multiply that estimator’s output.
  • Stage 3: a preconstruction coordinator once bid volume and admin outgrow the estimators.
  • Stage 4: a scheduler and BIM coordinator as you move into larger, owner-driven or design-build work.

Your order may differ. A design-build firm may need BIM coordination early, while a specialty subcontractor may never need a dedicated scheduler.

Building the team remotely

Every role above is mostly screen-based work: drawings, models, spreadsheets and calls. That makes preconstruction one of the easiest areas to staff with remote professionals, as long as they work your hours and use your systems. Through HireArchitects, full-time remote preconstruction roles start from $2,199 per month for takeoff specialists and $2,299 for estimators and preconstruction coordinators, with schedulers from $2,699 and BIM coordinators from $2,799. See all rates on our pricing page.
